How to filter the incoming emails

Every warmup email has a unique identification based on which you can easily create a filtering rule and send all these emails into a dedicated folder.

This identification (ID) is per account, not per inbox which means, that if you have multiple inboxes connected under one account, all of them will share the same identification.

How to find your unique ID

You can find your unique ID in two ways:

1) By logging into your account. Click on any connected inbox and go to the General settings:

2) Inside the incoming warmup emails. Your ID is a phone number located at the bottom of the warmup emails, under the sender´s name. Please note, that your ID is ONLY the phone number AFTER the prefix. The prefix can change, so please don´t include it into the filtering rule.

Recommended Folder Naming for Better Deliverability

In addition to using a unique ID to filter emails, we now recommend creating folders with names that include your unique identifier. This helps avoid pattern detection by ESPs and improves overall deliverability.

Instead of using generic folder names like "warmup" or "wui", consider creating folders with names that include your unique identifier (ID) or any other name that includes your unique identifier:

"Mail-your ID"

"Inbox-your ID"

"your ID"

For example, if your identifier is 44412418, you could name your folder for example:

Mail-44412418

Inbox-44412418

44412418

etc.

Our system will automatically recognize folders that contain your unique identifier and prioritize moving warmup emails from spam to these folders.

How to create the specific rule for the warmup emails

Now that you know your unique ID, it´s time to create the rule for the incoming warmup emails. In the following lines, we will share with you instructions for Gmail, Outlook, and other ESPs.

Gmail example

Step 1: Create a label following the instructions in Recommended Folder Naming for Better Deliverability.

Step 2: While you are in the inbox of your mailbox, click here:

This filter searches the inbox and will look like this:

Step 3: Hit Create Filter.

Step 4: Adjust the settings like this (in the blurred area is your unique ID):

That´s all!

Once you have your filter created, it should look like this (in the blurred area is your unique ID and the name of the folder):

Outlook example

Step 1: Create a folder following the instructions in Recommended Folder Naming for Better Deliverability. Note: it has to be created as a main folder, not a subfolder.

Step 2: Navigate to the settings icon in the top right corner. Search for "Rules" and click on the 1st result.

Step 3: Name the rule: Warmup Inbox.

  • Add a condition "Message body includes" and fill out your unique ID

  • Add an action "Move to" -> choose your folder and hit Save.

Step 4: Your new rule is set up and you´re all set.

Other ESP example

If you have an inbox that´s not Google or MS365, creating the filtering rule is very easy. Here are the steps:

1) Create a new folder following the instructions in Recommended Folder Naming for Better Deliverability.

2) Set up a rule that if the incoming email contains your ID in the email body, this email will be moved to the folder you created.
